Schedule: In-Person, Monday - Friday, 40 hours a week

About Strand Bookstore (The Strand) & Bass Real Estate: Strand Bookstore, also known as The Strand, is an independent family-owned bookstore known for having over 18 miles of new, used, and rare books operating in New York City. Established in 1927, The Strand has become an integral part of the bookselling community in New York. Known around the world for its excellent and varied selection of books, merchandise (including the iconic Strand tote), literary events, the Books by the Foot program, and its subscription services. Bass Real Estate, owned by the Bass family (owners of the Strand), also oversees 828 Broadway, the building where Strand's flagship location is located, and its tenants.
Position Summary
Strand Bookstore and are seeking an organized and proactive Accounting and Administrative Specialist to assist in overseeing financial operations across our retail and real estate businesses. This role will have a strong background in Accounts Payable (A/P), Accounts Receivable (A/R), with the ability to provide administrative support across multiple entities including direct assistance to the business owner. The ideal candidate is proactive, detail oriented and capable of managing priorities with highest standards of accuracy, discretion, and integrity.

Key Responsibilities
General Responsibilities
- Manage and reconcile daily sales activity across multiple retail locations.
- Oversee accounts payables and receivables, including vendor management, collections, and payment processing.
- Lead monthly, quarterly and year end close activities including reconciliations, journal entries and variance analysis.
- Coordinate with external accountants and auditors, preparing schedules and documentation to support financial reporting, tax filings, and audits.
- Collaborate with internal teams to provide financial support and streamline processes.
- Maintain the upkeep of all digital and physical financial records ensuring accessibility and audit readiness.
- Perform additional duties assigned.
Property Management Support
- Manage tenant billing and collections for commercial and residential properties, including rent, utilities, escalations, and year end true ups for real estate accounts.
- Support stakeholders with lease administration, including document preparation and record keeping.
- Respond promptly to tenant inquiries and maintain organized records of tenant communications, leases, and maintenance updates.
- Collaborate with internal teams and service providers to support property operations.
Executive Leadership Support
- Provide trusted financial support to the business owner including preparation of reports, coordination of documents and liaison with external accountants and tax professionals.
- Assist with personal and business financial organization to ensure all information is accurate, complete, and accessible.
- Perform administrative and operational support including bill payments, expense tracking and mail management.
Qualifications & Requirements
- 4+ years of experience in A/P, A/R, and PR processing.
- Proficiency in Microsoft GP is required; experience with Oracle or other ERP systems a plus.
- Strong analytical, problem-solving, and time management skills.
- Self motivated, proactive, and able to manage multiple priorities in a fast paced environment.
- Excellent interpersonal and communication skills
- Commitment to professional integrity and discretion.
- Comfortable sitting for long periods of time in front of a computer.
- Ability to lift, pull, push or carry items weighing up to and between 10-50 lbs.
- Can work independently while also maintaining a sense of urgency and attention to detail.
- Available to work 40 hours, 5 days per week.
